Everyday reality

Five places where unnecessary costs arise day to day

  1. Sampling instead of checking
  2. Surcharges
  3. Without approval
  4. Cost center
  5. Cost question
Without Pactos

Hundreds of lines, only a sample

A consolidated invoice often covers many people, weeks and sites. Checking every line individually is barely feasible, so it usually stays at spot checks.

With Pactos

Every line can be evidenced

Purchase order, approved timesheet and invoice line belong together directly. Only the lines where something does not add up have to be checked.

Without Pactos

Premiums are not recalculated

Night work, Sundays, public holidays and overtime follow fixed rules. The premiums are usually calculated by the provider, and a wrong rate is easy to miss in the total.

With Pactos

The rules are stored in the system

Premiums, collective agreements and agreed rates are stored in the system. If an invoice line deviates from them, that shows up before payment.

Without Pactos

Billed, but never approved

Extensions and additional assignments are often agreed verbally and billed later. Whether they were actually approved is hard to reconstruct after the fact.

With Pactos

Without an approval, the line stands out

For every assignment it is documented who approved it, when and at what stage. If an approval is missing, that becomes visible directly during the check.

Without Pactos

The cost center is wrong

At month end, reclassifications arise because assignments were booked to the wrong cost center. That costs time in accounting and makes clean reporting harder.

With Pactos

The cost center belongs to the assignment

Cost center and site are stored directly on the assignment and carried into billing automatically. That makes reclassifications the exception.

Without Pactos

External personnel costs come from several sources

What the external workforce costs per site, entity or period often has to be gathered from several sources. By the time the figures are reconciled, the current position has long moved on.

With Pactos

One reliable figure from one source

Volume and costs can be analyzed directly by cost center, site, provider and period. Close, forecast and negotiation then work from the same data basis.

Your area of responsibility

Four tasks that become visible at period close

For finance, the external workforce is rarely a process of its own, but often a source of errors of its own. The main tasks all draw on the same data.

Invoice verification

HoursSurchargesCollective agreementApproval

Consolidated invoices with many lines have to be reconciled against the purchase order and the records, often under considerable time pressure.

What matters

The check concentrates on real discrepancies instead of random samples.

Cost allocation

Cost centerSiteEntityPeriod

Every hour worked has to be allocated to the right cost center, even when assignments run across several areas.

What matters

The cost center is set on the assignment itself and does not have to be corrected later through reclassifications.

Close and cut-off

AccrualPeriod cut-offForecastPreview

Hours worked but not yet billed have to be valued and accrued to the right period.

What matters

Even before the invoice, you can see what volume to expect in the current month.

Transparency and control

ReportingDiscrepancyTrendStaffing provider

External personnel costs have to be explained in a way that management and the departments can follow.

What matters

Everyone involved works with the same figures and the same current position.

Four things that run differently after the rollout

Discrepancies instead of samples

The check shows only the discrepancies between purchase order, record and invoice. What is correct needs no further attention.

Fewer reclassifications at period close

Cost center and site are stored directly on the assignment. What is allocated correctly from the start does not have to be corrected later.

A preview before the invoice

Approved hours show what volume to expect in the current month before the invoice arrives. Cut-off and forecast are then based on current data instead of estimates.

One figure everyone uses

Procurement, the department and finance see the same position. That way the discussion is about decisions and not about which figure is right.

FAQ

The questions from finance and controlling

Does Pactos replace our ERP?
No. Pactos checks and evidences the external workforce lines and hands over the result. The booking stays in your system; the connection runs through an open interface.
How do the invoices get into the system?
Through the provider, who issues them in Pactos, or by capturing incoming consolidated invoices. In both cases every line is held against the purchase order and the timesheet.
What happens when there is a discrepancy?
The line is flagged and goes back to the provider with a reason instead of into payment. The history stays documented, including for the next negotiation.
Can we map premiums and collective agreements?
Yes, including night, Sunday and public holiday premiums, overtime rules and industry collective agreements. What has been agreed is stored and applied.
Does this help with period cut-off?
Approved but unbilled hours give you a preview of the volume for the current month. That is the basis for accruals and forecasting.
What does Pactos cost?
The model is volume-based: a share of the external workforce managed through the platform, plus a minimum fee per license. To the pricing page → or straight to the ROI calculator.
