Process · Candidate management

From the request to the right candidate, without mailbox chaos

Pactos captures the requirement, the approval, the profiles and the responses in one register and makes candidates comparable across all providers.

Five formats, one register

How it works today

This is how candidate management runs today

The profiles are there, they are just not comparable. Every step happens in a different medium.

As an email attachment

Profiles come in

Every provider sends a large number of files in different formats. They are stored locally and retyped.

In Excel

The comparison is retyped

Qualifications, availability and rate end up in a spreadsheet that nobody maintains. With the next requirement the work starts over.

In mailboxes

Responses get lost

Acceptances, rejections and queries sit in different places. The provider follows up because they have heard nothing.

The result

Selection takes longer than planning allows for. How it came about cannot be traced afterwards.

Vendor Intelligence · Candidates module

The module that filters for the right applicants

A job template defines which role is needed. The requirement reported runs through the approval stages you have defined and then goes to all suitable providers at the same time. The profiles come back structured and are processed in the same format.

Job template in Pactos: the steps general information, place and time, qualifications, pay and premiums, on- and offboarding and distribution, with the fields for name, qualification profile and industry on the right.

An extract from Vendor Intelligence

A candidate is recorded as an assignment, and the assignment leads to time recording and an invoice. Everything hangs on the same person, without the data being captured a second time.

Frequently asked questions

What is candidate management in staff leasing?
The administration of the candidate profiles that staffing providers submit in response to a staffing request: capture, comparison, response and documentation. Unlike your own recruiting, the profiles do not come from applicants but from several providers at once.
How do you compare candidates from several providers?
Through shared fields. As long as every provider sends its own format, the comparison is manual work. Once qualifications, availability and rate are captured in a structured way, the profiles sit side by side in the same view.
Does Pactos replace our applicant tracking system?
No. An ATS manages your own applications for your own positions. Pactos manages candidates who come through staffing providers. Both can run in parallel, and the interfaces are open.
Who confirms the automatically extracted data?
A human. Extraction from the CV produces suggestions, not finished records. Only confirmation writes the value into the profile.
Can approvals differ from site to site?
Yes. Approval stages, workflows and vendor groups are configurable per entity and site. You define who approves: operations, HR, procurement or the works council.
Do the providers see what the others are offering?
No. Every provider sees the request and their own responses, never those of their competitors. The comparison stays with you.
Will our providers go along with it?
They benefit too: submitting a profile takes a few minutes instead of an email with an attachment, and they can see where their suggestions stand without asking.
